This policy explains how we collect, use, disclose and protect personal information when you use vxlmigration.com.au (the “Site”), make a booking, contact us (including via WhatsApp), or otherwise interact with us. It also explains your rights under applicable laws (GDPR/UK GDPR, CCPA/CPRA, Australia APPs, etc.). 

2) What we collect 

Information you provide: 

• Identity & contact (name, email, phone, WhatsApp), location/office preference (e.g., Head Office, Tasmania, Adelaide, Colombo, Galle, etc.), and details about your study/migration goals when booking. 

• Application-related data you share later (education history, passport/ID, CV, English tests, financials, dependent details) if you choose to proceed with our services. 

Information we collect automatically: 

• Device/usage data (IP, browser, pages viewed, timestamps) and cookie-based analytics. See Cookie Policy below. 

Information from third parties: 

• Where permitted, we may receive updates from test providers, educational institutions, insurers or portal providers you interact with via our links (Agent/Student portals). 

3) Why we use your data (legal bases) 

• To provide services and respond to you (perform/prepare a contract). 

• To manage bookings and communications (legitimate interests / consent, where required). 

• To comply with law (e.g., KYC, immigration compliance, record-keeping). 

• To improve the Site and services (legitimate interests in analytics and service quality). 

• Marketing with consent (or legitimate interest where applicable) with opt-out anytime. 

4) Sharing your data 

We may share data with: 

• Group offices & staff supporting your case management. 

• Service providers/partners involved in admissions, test booking, health insurance, professional year programs, and migration pathways. 

• Technology providers (hosting, analytics, communications, booking tools, CRM/AMS). Links to Agent Login or Student Portal lead to external systems with their own privacy terms. 

• Authorities when legally required (e.g., fraud prevention, lawful requests). 

5) International transfers 

Given our offices and partners across multiple countries, your data may be transferred internationally. Where required, we implement safeguards (e.g., SCCs for EEA/UK transfers; APP-compatible measures in Australia). 

6) Retention 

We retain data only as long as necessary: 

• Inquiry/booking records: typically 24 months after last interaction; 

• Client files: typically 7 years after service completion (or longer if required by law/immigration rules); 

• Web analytics: as per Cookie Policy below. 

7) Your rights 

Depending on your location, you may have rights to access, rectification, deletion, restriction, portability, and objection; to withdraw consent; and to opt-out of certain processing (including marketing). 

• EEA/UK: GDPR/UK GDPR rights incl. lodging a complaint with your supervisory authority. 

• California: CCPA/CPRA rights incl. knowing, deleting, correcting, limiting sensitive data use, and opting out of sale/sharing. We do not sell personal information in the conventional sense. 

8) Children 

Our services are primarily for adults/guardians. If you believe a child provided data without consent, contact us to remove it. 

9) Security 

We use administrative, technical, and physical safeguards (access controls, encryption in transit where supported, least-privilege access, staff confidentiality). No system is 100% secure.
